Terris invited Board members to attend a Facebook Live event Monday, August 30 at 6 pm, organized and hosted by Neighborhood Leader Taneisha Brooks:  “Mental Health in the African American Community: It’s Okay Not to Be Okay,” with Dr. Latrina Slater, Quntez Hubbrd, Aja Allen, and Tracy Stephens. https://tinyurl.com/cv6y33me

Minutes Joan presented the minutes of the June Board meeting (which had been emailed previously), there was a motion to adopt them as circulated, a second, and a vote with unanimous approval.
Board Development Committee Tim presented on Chair Gary’s request. The 8 new Board members have received orientation, and all are being connected to the Board committees of their choice. The Board retreat will be Saturday, October 23, from 9 a.m. to 1:30 pm in a sheltered area of a local park (being arranged by the Mayor). We have invited Karin Douglas to facilitate; she is hoping to reschedule a vacation so she and her partner can do so.
Finance Committee Due to circumstances beyond Treasurer Jane’s control, the Finance Report was not yet available. Jane will forward it to the Board when it is ready.
Resource Development Committee Chair Rachel reported that she met with former RDC Chair Liz Demarco and Tim, and will convene the Committee for a virtual meeting in the near future. Patrick Howard volunteered for the Committee, and Erin Thompson Podvin commented that she continues on it.

Rachel commented that the Changing the Picture for Athens Children event February 19th is scheduled as a dinner but might again have to be virtual, and that a decision needs to be made well ahead of that date.

She led a discussion about the Steps to Connect fundraiser and the consensus was to have it in November with a simplified (no teams) but similar approach to last year’s. Last year’s sponsors and other potential sponosrs will be solicited.

Communications Committee Chair Katrina will convene the Committee in the near future.

Patricia is the new staff lead for social media and plans to post short bios with head shots of Board members and staff on the FC-CIS Facebook page; she requested that any Board members not wanting to be posted let her know. Tim asked that everyone who is in Facebook “like” the FC-CIS of Athens Facebook page.

Tim asked all new Board members to provide a head shot and paragraph bio for our website, which needs to be updated to reflect the current Board members and officers. If returning Board members have changes in their information, they are asked to let Tim and Patricia know.

Programs & Partnerships Committee Chair Shawanda reported on strong existing and new community partnerships with the Neighborhood Leaders.
Executive Committee (includes Personnel) President Alexia reported that the next scheduled meeting of the Executive Committee & Committee Chairs will be virtual on Tuesday, September 14, 8:30 am. (Board members who are not officers or chairs are always welcome and should notify Tim if they would like to be included in the Zoom notification.)

Opening President Atkinson opened the meeting at 8:33. New Board members were welcomed. Introductions and bright spots were made. Notice was given for absences from Daniel Epting (on his way to provide support in the hurricane), Jack Frierson (death in the family), UnTwann Leverette (urgent work matter arose), and Shirley Reyes (urgent family matter arose)

Minutes President Atkinson moved that the Minutes of the June Board meeting (previously emailed to the Board) be adopted as circulated. It was seconded and unanimously approved.
Finance Committee Treasurer Matt Beacham informed the Board that the FY 2020 audit is under way. He gave a verbal update, reporting that we ended FY 2020 in a good position with money in the bank, and that challenges are anticipated related to the pandemic and fundraising, including events. He emphasized the increased need for support from businesses and individuals able to provide it.

Matt had reviewed the draft Finance Report and requested some changes – for example, the PPP forgivable loan should be listed as a liability and not as a grant until it is actually forgiven. Staff will make those changes and send the Finance Report to the Board.

Resource Development Committee Committee Chair Liz DeMarco reported that the Steps to Connect Challenge is moving forward, and encouraged Board members to continue to seek sponsorships and participants. Our Facebook page has details on registering – https://www.facebook.com/fccisathens – and Liz encouraged Board members to share that. Sponsors to date: Gold ($1,000) – Athens Eye Doctors & Surgeons LLC, Carol & Paul Kurtz; Silver ($500) – Jack Frierson and Bertis & Katherine Downs; Bronze ($250): To Make and Mend LLC, Athens Regional Library, Amerigroup; in-kind – reBlossom Mama & Baby Shop, Pure Barre. Cash sponsorships to date: $3,750. Asked her goal, Liz said $30,000. She also mentioned possibly having another in the spring.

Alexia interviewed Liz about the event and reported that it is airing on WUGA multiple times today.

Board Development Committee Committee Chair Gary Bertsch requested that future on-line Board meetings be streamlined to be 1 hour instead of 90 minutes. He reported that new Board members received orientation and are joining Board committees.

He reported that our annual Board retreat will be in a large pavilion with great physical distancing at Sandy Creek Park, starting at 9 a.m. on Saturday, October 17. He will arrive early and build a fire.

Communications Committee Committee Chair Alexia Ridley reported. She has sent out press releases and PSAs for the Steps to Connect Challenge; a news story including her interview with Liz is airing on WUGA. Tim reported that Alexia also did stories about the Census (interviewing Tim) and that last week’s Athens News Matters was a special edition focusing on housing insecurity and homelessness in Athens, with the final segment an interview with Neighborhood Leader Gwen Littleton. Neighborhood Leaders have been on WXAG discussing the Census and other issues.
Programs & Partnerships Committee Committee Chair Shawanda Johnson emphasized the great partnerships being developed and utilized by the Neighborhood Leaders. Neighborhood Leaders are partnering with many other organizations for food distribution, mental health support, trauma-informed support, training, and other. She has obtained donations of more than $3,000 from Athens Mutual Aid Network to provide assistance with rent, utilities, and other needs. Concrete Jungle is providing fruit and other produce for distribution. The Winterville Community Center is providing external wi-fi for students to access. She was elected Local School Governance Chair at Winterville Elementary School.

Patricia mentioned that our site coordinators at Gaines and Alps have requested small whiteboards and earphones for students they serve to use in their online schooling.

SAT or Project Report Daniel Epting and Erin Thompson Podvich shared about the great work being done at Athens Cotton Press. There were questions and extensive discussion about the importance of the project and working to assure its continued operation, including covering facility costs (which have been donated to date).
Staff reports Patricia Mattox and Terris Thomas updated the Board, with discussion about and enthusiastic support for the work.
Resolution to enter contract A motion was made, seconded, discussed, and unanimously approved to adopt a resolution to enter into contract with the Georgia Department of Human Services for a partnership with DFCS through which our Neighborhood Leaders would be official SNAP Outreach Partners.
Minutes Secretary Shirley Reyes moved that the Minutes of the January 7th Board meeting be adopted as circulated. It was seconded and unanimously approved.
Finance Committee The Finance Report was electronically provided to all Board members
Board Development Committee Committee Chair Gary Bertsch reported that the Committee has confirmed a willingness to serve with three outstanding potential new Board members (Chamber CEO David Bradley, child care owner/former banker Jennifer Zwirn, and Neighborhood Leader Patrick Howard [Patrick would be nonvoting]). He encouraged the Board to identify others. One specific need is someone with an accounting or financial background to serve as treasurer. He also reminded the Board that 3 of our 4 officers are in the final year of their term limits; the Committee has strong candidates in mind (except for treasurer) and encourages suggestions and interest from all.
Resource Development Committee Committee Chair Liz DeMarco updated the Board on the Changing the Picture event honoring Hank Huckaby. It will be Saturday, March 20, 7 to 8 pm.

Liz and Lucy reminded everyone that this is our major fundraiser for the year and engagement by all is expected. 

Liz pointed out that the video that’s being put together will be a great tool for educating the community about our work, including possible future Board members and donors. She strongly encouraged everyone to invite folks to watch.

She also reminded everyone who’s doing the videos get them in, and reminded all to continue to seek sponsorships, ticket sales, and donors.

Communications Committee Committee Chair Alexia Ridley reported that she has done a PSA for Changing the Picture, and will do a press release. She will share both with the Board.

She has also worked to get videos about Hank Huckaby from the University System.

Executive Committee Lucy adjourned the meeting at 10:05.

Minutes Secretary Shirley Reyes moved that the Minutes of the October Board meeting be adopted as circulated. It was seconded and unanimously approved.
Finance Committee Treasurer Matt Beacham presented the Finance Report. He reported that we are in good shape. He pointed out that the PPP forgivable loan is listed as a liability and encouraged staff to proceed with filing for forgiveness, which will remove it as a liability.
Board Development Committee President Atkinson reported that the Committee has identified potential new Board members and officers to contact about serving in the next fiscal year.
Resource Development Committee Committee Chair Liz DeMarco reported that this year’s Changing the Picture for Athens Children will be via Zoom with a single honoree, Hank Huckaby. It will be Saturday, February 20, 7 to 8 pm. She reminded everyone that she shared the Google sheet of potential sponsors with everyone and asked that all Board members fill in their own sponsorships and those that they will solicit.

Liz and Lucy reminded everyone that this is our major fundraiser for the year and engagement by all is expected. 

The Sponsorship packet has been emailed to all Board members. We will have copies printed as well. Board members should reach out to Tim or Liz for copies.

There is hope for a video about Hank Huckaby to show as part of the event, as well as short videos/presentations about all programs. Liz emphasized the importance of the education-about-FC-CIS component of the meeting. Alexia will work on it.

Daniel Epting moved approval that up to $3,000 be spent on video for the event. It was seconded and unanimously approved.

Communications Committee Committee Chair Alexia Ridley reported that she will be doing interviews about some of the work, as well as working on the videos for the event. Lucy will reach out to Susan Fontaine about assisting with social media. Lucy and Alexia will confer about specific communications needs and Alexia will convene the Committee to follow up on those.
Programs & Partnerships Committee Multiple partnerships were discussed.
Executive Committee Lucy reminded Board members that she had sent out policies related to personnel communicating with Board members and what the procedures are should any employee have a concern.

The Executive Committee previously approved a pandemic waiver of organizational policies where needed for efficiency and/or safety. The executive director and President must both approve any specific waiver. Daniel moved that the Board approve that decision of the Executive Committee, there was a second, and it was unanimously approved.

Staff reports Patricia, Terris, and Tim updated the Board.
Executive Committee President Atkinson moved that the next full Board meeting be held on Thursday, January 7, at 8:30 a.m. (the fourth Thursday of December is Christmas Eve). The motion was seconded and unanimously approved.
Finance Committee – budget amendment President Atkinson moved that the budget be amended to reflect an additional $5,000 in Georgia Family Connection funding, allocated to personnel, bringing that contract to $48,000, and that a contract amendment to that effect be accepted. It was seconded and unanimously approved.
Minutes President Atkinson moved that the Minutes of the June Board meeting (previously emailed to the Board) be adopted as circulated. It was seconded and unanimously approved.
Board Development Committee Committee Chair Gary Bertsch reported that the retreat went well and all agreed. He encouraged all Board members to be thinking of future Board members, as well as additional, non-Board committee members.

Committees will meet, review the notes from the retreat, and establish work plans for the year ahead.

Resource Development Committee Committee Chair Liz DeMarco reported that the Steps to Connect Challenge was a success, with $10,805 raised and $1,258 in expenses. All thanked Liz (and intern Sophie Fernandes) for their great work on it. Creative ideas for other virtual fundraisers were discussed.

Liz recommended that we accept that we cannot hold the annual Awards Dinner in its traditional form in February, and that we make that decision now. There was a consensus on this. Some ideas were mentioned (delaying with sponsored pods in warmer weather, Hotel Indigo sponsorship rooms, others). There was also discussion about the three honorees.

The Committee will meet to discuss it and move forward.

All Board members are encouraged to let Liz know your ideas for the event (and other fundraisers) and for honorees, and all Board members are welcome to participate in the Committee meeting. 

Communications Committee Committee Chair Alexia Ridley reported that she will do a story about the distribution center and will discuss with Daniel and Tim about sending a release out.

Patricia informed everyone that intern Kerbi Rucker did interviews and short videos about Site Coordinators, Neighborhood Leaders, and Bridge to Employment.

Programs & Partnerships Committee The distribution center at The Cotton Press was discussed. Excitement was expressed at its great early success. Ways to sustain it will be required moving forward.
